The main function of Export Reports is to allow you to modify large amounts of data in the WeTrack system before reimporting the modified information - this process is only admitted to System Administrators, although any User is able to export information. So, to modify large numbers of Tasks or Risks you must first use an Export Report with the information you wish to change. Go to the Settings area, choose Imports and Exports, and then click on the Exports tab. Next choose the data type you wish to export and modify. In this example, we are modifying Tasks, but you can also export and modify Departments, Users, Project RAG Status, Projects and Task Groups.

Select the Report Category and Type you wish to export, then apply any date and other filters to refine the information further. Below the Options box, the Report Output will appear, at the top right of which is an option to download the output in CSV format. Click "Download" and save a copy of the file to your computer.

Open the saved file and you will see a spreadsheet similar to the below example. In the spreadsheet you can edit fields as desired, but bear in mind that information will have to be consistently formatted for the import back into the WeTrack system to be successful, e.g. in the "Context - Projects" column, you must use the code or name for the Project you are choosing exactly as it appears in WeTrack.

When you have finished editing information in the spreadsheet, save the file in XLSX format and then return to the WeTrack Import Manager (in Setting tab), select the file type you wish to import (in this case, Task) and click "Upload File" to locate the file on your computer.

WeTrack will then map the columns in your spreadsheet against the relevant predefined fields in the system and verify if all the information is compatible. It will inform you of how many new items will be created and whether there will be any files overwritten as a result of your import. In modifications such as this, the import should consist entirely of overwritten rather than new files.

Finally, click "Start Import" to complete the process.
